  • Great understanding Bamdad. Openness is the key driver at Delft and part of the overall University mission

  • Delft have been really proactive in building support into tools too. They use the "request feedback" feature in DMPonline and direct requests to the relevant data steward in each faculty so researchers can get tailored feedback on their Data Management Plan

  • Completely agree. I really like their focus on researcher needs

  • If you can build in incentives for researchers too that will help. Policies have more effect on risk adverse types like senior management in my experience, while visibly saving time or getting credit is more likely to persuade researchers

  • There are lots of DMPs published online. You'll learn about some of these during the course but by all means ask for pointers if you can't find relevant ones

  • There are various risks with service delivery
    - getting too much / too little traffic which can make it hard to scale or make a case for sustainability
    - not having a good understanding of or access to end users
    - losing key staff which can make delivery difficult
    - increased costs etc

  • When institutions or funders require deposit in a set repository, that inevitably has different levels of access as you can't force everyhting to be open. Some repositories like Edinburgh DataShare focus on Open Data and point to other services if content can't be shared.

    It's not uncommon policy wise to require data to be shared once findings are published...

  • This varies by institution. Some may give basic support services (e.g. a certain quota of storage, access to training and consultations) free of charge. If several hours or weeks of staff time are costed into a proposal, this would usually be charged.

    Some repositories charge for large datasets too e.g.

    Cambridge uni - £4/GB for datasets above 20GB...

Both processes could be termed 'cleaning' Often data archives will do processing steps to make the data ready for sharing which may be similar to processing and documentation that researchers do during data analysis.   • Sometimes the most interesting things made with your data are done by someone else :-)

  • Completely agree Jessica. I think it's really important for content creators (researchers) to discuss with curators (e.g. repository managers) to ensure the way the data are made available suits access needs.

  • Good point Raffaella. Often librarians and RDM support staff aren't actively involved in the data analysis, but there are an increasing number of data stewards, research software engineer and data scientist roles that bridge research and support communities. Perhaps someone from that are can provide some advice?

  • @MariaVivas-Romero Sounds good. There's a lot of data security and handling sensitive data, but I think you're at a medical uni so that's natural. It may be cover to emphasise how data can be shared within these constraints and use case studies and exercises to help people apply learning as Paolo says.

  • We used a case study like this in the CODATA/RDA data science school last time and I think it really helps the participants to contextualise the theory. I've always found that having researchers speak from practice is the most convincing and compelling too. Definitely good to bring people in to give personal tales

  • Glasgow uni did lab based sessions so researchers could write their DMP in the session and get advice from support staff at the time. They left having completed a task on their to-do list so that helped to give a direct benefit from training

  • I agree that training should be short. People zone out if sessions are too long. You also want to break things up with exercises to test and reinforce the learning. Webinars can work really well too as they can be recorded

  • Definitely invest in google keywords and ensure you hit top of lists. This is how most people will find you. I only ever search for certain webpages via google as their internal search is hopeless!

  • @PhilippConzett Nice example Philipp. I like a minimal amount of scroll too. It's a hard balance to draw, but more pages and less scroll is my preference

  • I find images help too. It's hard to read big swathes of text online

  • This is quite often the case and can be really confusing to researchers. Getting people together at the uni to have a place that signposts off to other sites can help provide a single overview

    I agree with some of what you say - no need to replicate when there are good resources already - but what I've learned from work with several unis is that most people can't find good resources and get overwhelmed by the amount of (often conflicting!) information. And within unis it is often not clear who can help with what.

  • @LindaWagner @BillCorey I would be interested to explore why more don't use DataVerse over big for-profit options too. Sometimes I think unis are scared of open source and think it will be harder to resource, even if the other option costs so much more.

  • Most funders state 10 years which is why you will see that figure. I've found that services are reluctant to commit to set time periods, but disciplinary repositories like UK Data Archive are over 40 years old so in practice they will have kept data far longer than 10 years.

  • If you're writing a DMP for your research project, your university may review it for you. See if there's a Research Data Management team locally. Otherwise, services like the OpenAIRE helpdesk should be able to help if you are in Europe or national teams like DCC and RDNL, or disciplinary data centres.

    You don't need to publish your DMP, but it can be good...

  • Yes @LindaWagner @BillCorey versioning is important to ensure you understand the status of the data at each given point in time (e.g. raw, processed) and to know which copy you need to use

The framing of them as part of a grant application which is then not referred to again suggests they are purely administrative. Until we connect DMPs to their implementation it will be hard to shift this culture and derive more benefits for researchers.

  • Great comment. It's easy to overlook preservation

  • I agree and repositories play a key role here. Users don't always think about licensing data clearly so they should be prompted to when sharing.

  • Metadata was indeed found to be the major weakness in a US study when staff from several unis reviewed DMPs to target support services.

  • These questions are not too basic at all. Getting into the detail of what will be shared, how, when and with whom is key. Some researchers may feel they can't share as data are about human subjects, but they could be anonymised, aggregated or shared under an agreement.

  • Yes, definitely. These all come from DMPs required at application stage. We intentionally kept examples short so you didn't have too much to read, but actual projects would need more detail

  • @LesleyMostert Some unis have implemented DMP requirements for their PhD or Masters students for this reason. Young researchers are more receptive to new concepts and if their supervisor has to review/approve their DMP, they learn in a roundabout way ;-)

  • Yes, many unis have found DMPs to be great conversation starters and educational tools. You can use the process as a way to explain about institutional services and offer support in general

  • Exactly @LindaWagner @LauraCagnazzo Commercial enterprises like Elsevier have bought up lots of systems across the research lifecycle.   • I think it's quite a low percentage - c.20% at a guess. Some unis have good services now but ordinarily it's difficult to get access to networked drives for externals. You have to get them registered as visitors or there isn't a clear process. This is why lots of researchers revert to dropbox, googledrive or other easy and free solutions

  • Thanks for the insights David. Lots of governments are driving data sharing and reuse. It would be great to get more stories on the reuse and impact to evidence these benefits

  • There are tools that can check for plagarism but I think teaching good citation practice so people reference sources properly and get impact for the data shared is more constructive

  • @LeightonChristiansen Puttign reuse so early is to raise awareness that you don't always have to create new data

  • The lifecycle is similar but some of the methods you use may be different during to scale e.g. how you transfer data or move compute to data

  • The two should align but they are slightly different. A research lifecycle looks at things more form the perspective of a researcher e.g. ideas, data creation, data analysis etc whereas this thinks a bit more about the services needed to support the data in each of these stages

  • I think funders are always resistant to enforcing rules. For institutions this may be a more sensible approach. Ultimately the uni is liable / responsible so if there's a big financial risk or reputational damage you want to find any way possible that drives behaviour change

  • Some data centers like the UK Data Service definitely do and many repositories have altmetrics or simple download counts in place but that doesn't tell you much about the 'how' of reuse.

    It's always hard to get info on reuse but if you know who you users are (e.g. if they register) then you can gather info from them. Some schemes like the Dutch Data Prize...

  • Yes, it can often help to separate data management and data sharing as management benefits the individual in terms of helping them find and understand their own content, whereas sharing will always benefit others as well.

    I gave a talk a couple of years ago which has some thoughts on how Open, FAIR and RDM intersect which may be useful. See slides...
